Delete your account

How to ask

from the address on the account, with "delete my account" in the subject.
That is the whole process. We do not ask why.
In the app, the same thing is under More → Settings → Deleting
your account, which brings you here. It is a page rather than a button on
purpose: what "delete" means depends on who is asking, and the answer below is
four paragraphs rather than a confirmation dialog.
You get a reply within 3 working days confirming what will be deleted,
and the deletion is done within 30 days of your request. If the address
you write from is not the one on the account we will ask you to write from the
one that is, because otherwise anyone could delete anyone.
What gets deleted depends on who you are
Four different people use Stableside and they are not in the same position,
so the honest answer is four answers.
If you own horses
Everything goes. Your name, your email address and your login. Every
horse you own, and on each of them: every entry, every medication course and
every dose, weights and conditions, diets, tasks, costs, photographs and
documents. Every share you granted and every link you issued.
That includes notes your vet or farrier wrote on your horses. They
are part of your horse's record and they leave with it.
Nothing is kept in a form that can be traced back to you. If you want a copy
first, export the horse's history from the app before you write to us
— once it is gone we cannot produce it again, and that is the point.
If you work at a stable
Your login, your name and your email address are deleted, and you are
removed from every stable you belong to.
What you wrote on other people's horses stays. That is deliberate and
it is worth explaining rather than asserting. A dose recorded at 07:40 is the
thing that stops the horse being given a second one at 07:55, and the owner
needs it to show a vet or an insurer that the animal was looked after. It is
their record of their animal, not your data about you, and an owner who could
lose half of it because somebody left has a diary rather than a record.
The part that is about you is your name on those entries. Ask
and we will tell you exactly which entries carry it and talk to you about
replacing it. Write to the same address.
If you are a vet or a farrier with a link
You have no account and never had one, which is the whole idea: a link
opens a page, and nothing about you is stored except the practice name the owner
typed when they issued it. There is nothing to delete.
The link expires within 30 days by itself, and the owner can withdraw it at
any time before that. Anything you wrote through it is part of the horse's
record and belongs to the owner.
If you only joined the waitlist
You do not have an account at all. Reply to any email from the list, or use
the leave link it carries, and the address is deleted. Or write to the same
address as everyone else.
What we keep after a deletion, and for how long
- That an account was deleted, and when. A date and nothing else: no
name, no address, no record of what was in it. We keep it so we can answer "did
you actually delete it" a year later.
- The log of who opened a shared link: 13 months. It records which link
was opened and when, never an IP address and never a browser. It is how an owner
can see who has been in, and it ages out on a schedule.
- Encrypted backups: up to 30 days. A deletion removes your data from
the live database immediately; backups taken before that are overwritten on
their own cycle and are never restored to bring data back.
- Anything the law requires us to keep, for as long as it requires it.
Nothing in the app is currently in that category.
Deleting one horse instead of your whole account
You do not have to delete your account to remove a horse. Ask for the horse
by name and only that horse's record goes, or use the app to withdraw everyone's
access to it and keep it to yourself. Selling a horse is a different thing again
— the app hands the health history to the new owner and keeps your
invoices with you.
If something goes wrong
If you do not hear back within 3 working days, write again: mail does get
lost. If you are in the UK or the EU and you are not satisfied with how a
request was handled, you can complain to your data protection regulator; in the
UK that is the Information Commissioner's Office.
